GearHead AI Public Beta Launches March 15

Media Mechanic is announcing the public beta release of GearHead AI on March 15.
GearHead is an AI assistant built for business owners and professionals who have spent years — sometimes decades — building something real: clients, projects, history, relationships, and decisions that actually matter. It's not another chatbot. It's an assistant designed to remember your business the way a great employee does.
The Story Behind GearHead
Years ago, our founder Paul had an office assistant named Kathleen. She knew every client, every project, every quirk of how he worked. She remembered things he forgot to mention. She connected dots he hadn't noticed.
When Kathleen left, he tried to replace her. He bought every productivity tool on the market — CRMs, calendars, project trackers, knowledge bases. Then came the AI chatbots: ChatGPT, Claude, and the rest. Each one was clever. None of them came close.
The problem wasn't intelligence. The big AI models are genuinely impressive. The problem was memory, context, and continuity. They didn't know his clients. They didn't remember last week's decision. They couldn't connect a problem this morning to a similar problem six months ago. Every conversation started from scratch.
Kathleen never did. That's what made her irreplaceable.
So we started building what we actually wanted: an AI that worked the way Kathleen did. One that remembered everything, understood the business, and knew when you were stressed about a client — and which other clients had hit the same problem months earlier. That became GearHead.
What started as a personal project, solving one business owner's own frustration, grew into something other owners and professionals wanted too. Lawyers using it to track every matter. Therapists using it to keep clinical continuity across sessions. Contractors using it to handle phones, estimates, and job costing without hiring more office staff.
It turns out Paul wasn't the only one who needed her.
What GearHead Can Do
GearHead is built around one idea: it should come ready to work, not ready to be prompted from scratch every morning.
Ask GearHead what needs your attention today, and it can bring together important email, upcoming appointments, unfinished tasks, reminders, recent work, and the decisions waiting for you — through the Dashboard. Then you keep going: ask it to draft the reply, schedule the appointment, prepare the document, follow up with the client, or help plan the rest of the week.
Some of what's built into GearHead today:
- Inbox monitoring across supported email accounts to help identify what needs attention
- Calendar integration with Google and Outlook, keeping the exact account and calendar involved clear
- A Phone Agent that can answer business calls, take useful information, and help schedule appointments
- Reminders, daily tasks, projects, and clients kept in view in one place instead of scattered across apps
- 40+ built-in business integrations and 100+ specialized live data and API connections
- 40+ professional playbooks — and growing — for real workflows, not generic templates
You can talk to GearHead naturally, by voice or text, even when a request is short, imperfect, or includes more than one thing at once. When clicking is faster, GearHead's tools open into clear panels for the information and actions that matter — without losing the conversation. Before GearHead performs a meaningful outside action, you review the details first.
Built on More Than One AI Model
Most AI subscriptions lock you inside one company's model family. GearHead doesn't work that way.
The beta launches with access to multiple AI model families in one assistant, one workspace, and one continuing business context — so you're not stuck with a single provider's strengths and blind spots. You choose the model you prefer for everyday conversation, and for supported work, GearHead can call on different AI and specialist services for analysis, tool handling, images, video, voice, and transcription, all while you keep working with the same assistant.
On eligible plans, a feature called Second Opinion can take one answer and compare it against reviews from up to three other eligible models, then bring their agreements and concerns together in one place — an extra layer of confidence on work that matters.
Why We Built It This Way
Most AI companies are racing toward AGI, aiming at consumer scale, enterprise customers, or government contracts. Their products serve millions of people and know nothing specific about any one of them.
GearHead is aimed at the opposite end of that spectrum. It's built for the business owner who has spent 5, 10, or 30 years building something real. It's built for the self-employed professional who doesn't have time to re-explain her workflow to a chatbot every Monday morning. It's built for the team that wants to share knowledge across users without it leaking to the wrong people.
That's a different product than ChatGPT. It's a different product than Microsoft Copilot. And it's a different product than whatever comes next from either of them — because the architecture underneath is fundamentally different. They process your prompts. GearHead models your business.
A few principles guide every decision we make on this product:
Honest over hype. We don't claim features we haven't shipped, and we don't compare against straw men. If we say something works, it works.
SMB first. We're not chasing Fortune 500 contracts. We're building for owners and professionals running real businesses — solo, with partners, or with teams.
Your data is yours. Memory, integrations, and conversations belong to your account. We don't sell your data, we don't train our models on your business, and we don't show your work to other customers.
Show up like a partner. Every customer gets a real walkthrough, real onboarding, and real support — not a chatbot buried in a help widget. When something breaks, you reach a human who knows the system.
Where GearHead Comes From
GearHead AI is being spun out from Media Mechanic, the Portland, Oregon digital agency that has served small and mid-sized businesses for 18 years. That history matters: GearHead isn't a lab experiment bolted onto a business — it was built by people who have spent nearly two decades in the trenches with small business owners, understanding exactly where the tools on the market fall short.
The Public Beta Is the Starting Point
The public beta is an important step because GearHead is being built for real-world use, not demonstrations. During the beta, users will help us understand which workflows are most valuable, where the interface needs improvement, and which integrations deserve the most attention next.
We expect the product to keep evolving quickly. Some parts will already feel polished. Others will still be rough around the edges. That's the nature of a beta — and it's an invitation for the businesses using it to help shape where it goes next.
GearHead AI's public beta begins March 15. This is the beginning of the assistant we always wished existed — not the finished version of it.
